Description

Job Requisition Number: 10205. The position resides in the Printing Services Unit of Business Services, headquartered in the Marchant Building at 6701 San Pablo Avenue and part of the Business and Administrative Services reporting organization under Associate Vice Chancellor, Ron Coley. Business and Administrative Services is part of the Administration control unit under Vice Chancellor Nathan Brostrom. The incumbent is expected to incorporate Business Administrative Services core values, core purpose and customer service standards into work habits and performance.
Responsibilities
Under the direct supervision of the Financial Officer, the Accounting Assistant performs administrative and accounting activities for University of California Printing Services. The incumbent performs daily accounting activities and preparation of monthly reports, and monitors and reports monthly expenditures. 40% - Accounts Payable Responsible for the timely and accurate processing of invoices into Berkeley Financial System and Logic Accounting System. This includes attaching all appropriate paperwork and authorizations, accurate coding in both financial systems, and handling any discrepancies, problems or missing information with disbursements, vendors, or operation supervisors in a timely manner. 40% - Accounts Receivable Processes charges for all University of California Printing Services to campus users. Comply with Business and Finance Monthly Production Schedule to insure all accounts receivable activities are completed on schedule. Coordinate with operations unit to obtain complete customer job information to ensure accurate data entry, produce, sort and mail billing statements to customers, and assist operations unit with data entry as necessary. Ensure that accurate billing and recharge records are maintained in the event of an audit. 15% - Administrative Duties Provide accurate information and reports to internal and external users as needed. Act as a liaison among departments, vendors and disbursements in regard to any disputes in payment. Maintain up-to-date knowledge of applicable tariffs, regulations and approved recharge rates to accurately answer inquiries from customers on billing matters. Perform special projects as assigned by the Financial Officer. Perform other duties as assigned. 5% - Professional Development and Training Participates in staff development that enables the staff member to stretch and grow; includes work on committees and assignments, formal and informal coaching and mentoring, regular training and conference attendance. Maintain current knowledge of industry practices and trends.
Requirements
-Demonstrated understanding of cost accounting and familiarity with computerized accounting processes. -Has good communication skills in dealing with customers, vendors, and co-workers. -Ability to work with minimal supervision. -Analytical skills, accuracy, and attention to detail. -Working knowledge of MS Excel, Word and E-mail.
